Training Administrator

Kingsbridge Training Academy are seeking to fill the role of Training Administrator. The successful candidate will join a busy training provider based on the Boucher Road, Belfast. Travel to other Kingsbridge Healthcare Group locations may be required from time to time.
 

Location Falcon Way, Boucher Road, Belfast. Occasional travel to other sites as required
Salary £17,000 per annum
Department Training Administration
Contract Fixed term (Maternity cover, 9-12 months)
Hours 37.5 per week, Mon – Fri, 9am – 5pm. (evenings and weekends may be required on an ad hoc basis, employees will receive time off in lieu)
Responsible to Learning and Development Manager

Job Summary

Provide effective administrative and secretarial support to the Training Coordinator and the Training Instructors as required. In this role, the ideal candidate should combine a strong attention to detail with an ability to multi-task and work effectively under pressure. You should also be a reliable problem-solver with strong project management skills.
 

Key Responsibilities:

  • Schedule training courses, timetable and facilitate course bookings.
  • Assist the Training Coordinator with preparing and administering various training programmes.
  • Liaise with internal and external tutors in respect of programme content and availability.
  • Maintaining relationships with existing customers via meetings, telephone calls and emails.
  • Maintaining accurate training records to assist in the effective running of the department. These records will involve the maintenance of both paper and IT systems.
  • Arrange training rooms and refreshments for courses.
  • Managing any initial payments and related queries.
  • Liaising with trainers to ensure that paperwork is completed at the end of courses and returned in a timely manner.
  • Producing and collating post course feedback and certification.
  • Providing support and representing the organisation at trade exhibitions, events and demonstrations.
  • Monitor levels of stationery stock, place orders, take deliveries, and keep accurate records.
  • Elevating any complaints, improvements or potential opportunities as they see appropriate.
  • Administer accredited programmes including enrolment, logging module completion and certification.
  • Deal with all customers enquiries via telephone, e-mail or face-to-face, in a courteous and professional manner.
  • General administration duties to include filing, scanning and photocopying.
  • Disseminating marketing literature as directed.
  • Manage ad hoc projects as directed by senior team members

Qualifications
  • 5 GCSE’s (Maths and English essential)
 
Experience
  • 1 years’ experience working in an administrative environment
  • Experience in a training or healthcare environment
  • Experience working with accreditation bodies
Special Knowledge and Skills
  • Proficiency in the use of MS packages including PowerPoint, Excel and Outlook
